3 process phases of social media posting

R&DE Strategic Communications & Marketing has developed an easy 3-phase approach for creating R&DE-approved Social Media posts. Please follow these phases to ensure a successful social media posting.

 

Social Media Proofing - Phase I

Phase I – Proofing

Step 1. Initial Review in Google Docs 
Weekly and monthly posts will be shared via Google Docs for initial review:

  • Meghan: Share StudentLiving UG posts with Danielle and Vanaka. 
  • Nathan: Share StudentLiving Grad posts with Maile and Anthony. 
  • All necessary edits should be made directly within the Google Doc before proceeding to the next step. 

Step 2. Broader Group Review in Google Sheets 
Transfer refined posts to the shared Google Sheet, to include the following information:

  • Target Post Date
  • Audience
  • Post Type (i.e. Instagram grid post, reel/short video, story, etc.)
  • Content Description
  • Call-to-Action – if any
  • Graphic or Asset needed & Graphic/Asset details
  • Provide reference links – if any (if any to provide context, more information, similar)

All posts will be shared with the following group for review: 

  • Jocelyn, Danielle, Anthony, Meghan, Nathan, Vanaka, Maile
  • The post owner will make adjustments based on the feedback and move the posts to Phase II

Phase II – Creation and Approval

Step 1. Upload Final Proofs and Create Tasks in Workfront 
Final social media proofs will be uploaded to Workfront:

  • Each post should be uploaded as an individual proof unless it’s part of a series, which can be submitted as a single proof
  • Ensure that a deadline is set for each post
  • Social media proofs from Meghan and Nathan should be submitted to Workfront at least 2 weeks before the scheduled post date
  • Updated versions should be uploaded as new versions


Step 2. Assigning Design Tasks in Workfront 
Design tasks should be assigned as follows:

Step 3. Approval Process

  • Ensure all artwork is approved at least 48 hours before the intended post date
Social Media Uploading & Posting - Phase III

Phase III – Uploading to Hootsuite and Posting

Step 1. Upload Approved Designs to Hootsuite 
Download the final approved proofs from Workfront and upload them to Hootsuite:
