2020 Winter Break Storage

All students in undergraduate housing must completely vacate their apartments and return their keys before leaving for winter break.

Students who are leaving by November 22 may pay $100 to store their items for the entire winter break. Those students who have signed up for “partial winter break housing” that ends on December 12 may pay $50 to store items for the remainder of the winter break. Storage will be provided in rented temporary containers placed in nearby parking lots. In addition to space in storage containers, students will also receive up to 10 storage boxes, if needed.

Why are students being required to completely move out of their rooms if they leave campus over winter break? 

Students participating in the winter housing allocation should be prepared for the possibility that they will have a different housing assignment for winter quarter. This is especially likely given our priority to assigning friend groups together, while incorporating the full frosh and sophomore cohorts. Students must completely move out of their rooms to allow R&DE an opportunity to thoroughly clean and prepare their rooms for new occupants in January. 

Who is required to move out at the end of autumn quarter? 

Any students not approved to stay during the winter break and students who choose the partial winter break option (departing on December 12) will be required to completely vacate their apartments and return their keys before leaving for winter break. We are providing here information about an optional storage plan for those students.

Who is eligible for this storage option? 

Students who are currently living in undergraduate housing for the autumn quarter and who will live in undergraduate housing for winter quarter will be eligible for this storage option. Students who have not applied for and received an assignment to winter quarter housing will not be permitted to store their belongings on campus during winter break.

What if I’m leaving at the end of autumn quarter, but plan on returning to live on campus for spring or summer quarter?

Students who are moving out at the end of autumn quarter and plan on returning to campus Spring or Summer quarters may contact the EVGR-4 (A) R&DE Housing Service Center for alternative storage options.

How much will this storage option cost? 

Students who will move out of housing at the end of autumn quarter (November 22) will be charged $100 for this storage option. Students who will move out of housing after the first part of winter break housing (December 12) will be charged $50 for storing items. All charges will be posted to the winter bill. Students will only be charged once items are actually placed into storage. When winter quarter financial aid is disbursed, it will cover the associated storage charge on students’ winter quarter account before any refund is generated.  

What is the storage process? 

  1. Interested students must submit the form into the portal by 5:00 p.m. on Friday, October 30. This will help the university to determine how many storage containers to order and have placed onto campus. 
  2. R&DE Student Housing will verify student eligibility by confirming the student has applied for winter quarter housing before they can pick up boxes or move items into storage.
  3. Eligible students will be contacted with details, guidelines and frequently asked questions. Students who sign up for storage but do not meet the criteria will be contacted as well.
  4. Students must pack up and move their personal belongings to the storage containers before leaving campus.
  5. At the beginning of winter quarter, students must pick up their items by January 11, 2021. If students do not pick up their items by that date, their belongings will be transferred to an off-campus storage vendor, and students will be required to pay for this storage service starting at that time.
  6. As students place items into storage, and as they retrieve them, they will be required to adhere to all COVID-related policies, including wearing a face covering and maintaining physical distancing.

What if I miss my requested storage date/What if I need more time to store items than I anticipated? 

The storage containers will be staffed from 8 a.m. to 5 p.m. between November 15 and November 22. As long as you move your belongings into storage on these days, you should be fine. However, you must move all items into storage on the same day.

For students who plan to stay on campus for a partial winter break (contract ends December 12), you will be asked to confirm your date and time to ensure staffing at the storage containers.

Can I pack my belongings with my roommate’s or others? 

No, students are required to pay for the storage of their own belongings. We anticipate that most students will be able to store their belongings in about 10 boxes or fewer. Students will only be able to access boxes with their own names and information and we will not authorize others to retrieve items on another student’s behalf.

What about my bike? 

Students who use this storage option for their belongings are encouraged to store their bike in the same container as their belongings. 

What cannot be stored?

Please do not store liquids or perishable items in the storage container to prevent pests or other issues. These dry containers are not climate controlled and are susceptible to heat and cold weather conditions.

Where will the storage containers be located? 

The storage containers are located in the Wilbur Parking Lot 62 on Campus Drive and Bowdoin Street.

How can I pick up my belongings when I return from break? 

Students returning to campus who would like to retrieve belongings that they placed in storage containers in the Wilbur parking lot for winter break must do so during their move-in window, if they are arriving during business hours check-ins (until 8:00 p.m.). This will help to facilitate physical distancing in the storage area. Students arriving after-hours should retrieve their belongings from storage the following morning between 8:00 a.m. and Noon. You must be present to pick up your belongings, as we will only release belongings directly to their owner. Students are responsible for moving all of their belongings from the storage containers into their new winter quarter housing assignments.

Dollies and hand trucks will be available at your local R&DE Housing Service Center. Please note that these are first-come, first-served, so please borrow the dolly or hand truck and return it promptly.

What if I do not pick up my belongings by the start of winter quarter 2021? 

If students do not pick up their belongings by the start of winter quarter, the belongings will be transferred to the Collegeboxes warehouse facility in Santa Clara, CA. Students will be responsible for all costs associated with storage of their belongings at that time.

When will I be able to store my items in the containers?

The storage containers will be available and staffed starting Sunday, November 15 until Saturday, November 21 from 8:00 a.m. to 5:00 p.m. daily. On Sunday, November 22, the containers will be open from 8:00 a.m. until 2:00 p.m.  After that date, the containers will only be staffed on dates requested by students who are living in winter break housing. 

What if I apply, am eligible, but decide to cancel my storage? 

Students may cancel their requests up to Sunday, November 22. You are required to do so in the portal by clicking on the button labeled “Cancel Request.”

Will I be able to use a dolly to move my items into storage?

Yes, you may check out a dolly from the EVGR-4 (A) R&DE Housing Service Center. Please check out and return the dolly during their open hours.

I have an OAE accommodation or a need that prevents me from moving my own belongings. What can I do?

Please contact your Resident Director to request assistance with moving. Residence Directors will review requests and will work with R&DE Student Housing to make accommodations for students who need assistance.

What if I realize that I forgot something that I need urgently? What can I do?
